Child Juvenile & Adult Management System

A complete overhaul of Maryland’s Department of Human Services platform. We transformed the management process by improving how DHS employees provide services for Maryland’s most vulnerable residents. Programs included Foster Care, Adult Services, Child Welfare, and License and Monitoring services for families in crises and service providers.

PROBLEM

The old systems were extremely outdated, costly and inefficient. Data specific to social programs were stored in disparate systems owned by several different agencies, making cross-program collaboration challenging. Important information was inaccessible for employees, resulting in extra manual work, duplicate entries, and delayed services.

SOLUTION

One large integrated management platform that streamlines the intake application process and shares database information across all agencies. Responsive web design allows staff to utilize secure tablets and mobile devices to improve the productivity of in-home visits. New custom dashboard features make it easier for employees to track, share and complete tasks, and communicate with other agencies under DHS.

Caseworker

Caseworker initiates Intake Assessment after receiving a new contact referral for an individual in need.

Person Search

Caseworkers now have the capability to search for individuals within the database without having to re-enter profile information after zero search results appear. Users are then given the option to either redo their search criteria or continue to an ‘Add New’ profile button.
We created the Find and Add  cross-platform functionality to cut down on unnecessary manual work and prevent duplicate personnel entries from clouding up the database.

Service Plan
After a caseworker has received approval from the financial management team, they must create a service plan with an allotted budget for the individual’s needs. Any additional resources needed to attend or complete a program or service must be recorded as well.

i.e. Transportation services, Taxi, Elderly Bus, Handicap Vehicles, etc.

Provider Dashboard

First online Dashboard for Service and Program providers to maintain and manage operations in compliance with Maryland OLM standards. This dashboard eliminates the stress of email communications for the Office of Licensing and Monitoring and improves efficiency by providing providers with easy access to the tools they need.
Provider License Process
Person Search
Prospective Provider receives an email with Application link and creates a Provider profile. The user must enter program or service info and staff details, including Profile, Education, Address, and Medical information. Employees each undergo a comprehensive background check before an applicant can move onto the next section. Once background checks clear, the user must attach any program/service-related documents, images, etc for review, then sign and submit the application.

Referral Worker

After receiving a new provider application, the referral worker must create and complete a new provider case using the application information. They must schedule site visits for both new applicants and licensed Service and Program Providers to make sure everything is state compliant. After conducting walk-throughs and recording facility documentation, the case is sent for approval to OLM Managers.
